Why we picked it

QuickBooks Online puts invoicing inside full accounting, with recurring invoices, estimates, reminders and card, ACH, Apple Pay, PayPal and Venmo payments, and a free tier for two invoices a month. Its 6.7 Features score is low partly because the pricing and invoicing pages itemise few features, not because gaps are confirmed. It ranks last on Value: Plus lists at $140/mo after the promo, about 3.1 times the median.

What's not included and why

We left out Moxie on score (5.2), mainly because its pages list few invoicing features. Harvest is a time tracker first, and its pricing page does not mention recurring invoices or reminders. Chargebee is subscription billing built for SaaS companies, and we could not tie its pricing figures to plans. Invoice2go's pricing page shows no plan prices in the page text, so we could not verify it and did not rank it.

We did not research Bill.com in depth because it focuses on AP and AR automation for larger finance teams. One rule shapes every score here: a feature counts only when the vendor's own page states it. Tools with thin pricing pages, such as Xero, Square and QuickBooks, may score lower on Features than their products deserve. If you are a vendor and we missed something, use Report an error.

How to choose

  • Count your users and invoices first. Free plans cap them: Zoho Invoice allows 2 users and 500 invoices a year, Invoicely Free 5 invoices a month, QuickBooks Free 2 invoices a month.
  • Price the plan for your whole team, not one seat. Per-user add-ons change the order: FreshBooks Plus comes to $87/mo for five users.
  • Add payment fees to the subscription. Card fees on the pages we checked run from 2.9% + $0.60 (Wave) to 2.99% + $0.49 (PayPal); bank payments are usually cheaper.
  • Confirm recurring invoices and reminders are on the plan you would buy. Wave puts them on Pro, and Zoho Billing puts subscriptions on Premium.
  • If you bill for time, look for time and expense billing and a client portal: FreshBooks, Zoho Invoice and Invoicely list them.
  • Decide whether you want invoicing alone or full accounting. QuickBooks Online and FreshBooks cost more because they include books.
  • Compare regular list prices. FreshBooks and QuickBooks show first-month promos that end after 3–4 months.

Questions buyers ask

What is the best free invoicing software?

On paper, Zoho Invoice is the strongest free option in our list. Its free plan includes recurring invoices, quotes, a client portal, automated reminders, time and expense billing and iOS and Android apps, with email and voice support 24/5. The catch is the cap: two users, three projects and 500 invoices a year. Wave Starter is the alternative if you need unlimited invoices and estimates at $0.

What is the best billing software for a small business?

Zoho Invoice ranks #1 at 8.8/10 for freelancers and two-person teams. If you have more users, Invoice Ninja Pro ($14/mo, unlimited clients, multi-currency) and Zoho Billing Standard ($50/mo, three users, customer portal) are the next fits. If you bill clients for time, FreshBooks covers the most checklist items, 10 of 12, but costs about $87/mo for five users.

Is there invoicing software with no monthly fee?

Yes. Zoho Invoice and Wave Starter both cost $0 a month, and PayPal Invoicing has no subscription at all. With PayPal you pay per payment received instead: 2.99% + $0.49 for cards, 3.49% + $0.49 for PayPal and Venmo, and 1% capped at $10 for Pay by Bank. Card processing fees still apply on Wave's free plan, at 2.9% + $0.60 per the vendor's page.

How much does invoicing software cost?

Across the 16 tools we could price, the median for a plan that fits five users is $44.50/mo. List prices on the pages we checked run from $0 (Zoho Invoice, Wave Starter, PayPal) to $140/mo for QuickBooks Online Plus. Watch introductory promos: FreshBooks and QuickBooks show discounted first months, so we compare regular list prices, checked 20 Oct 2026.

Do I need accounting software or just invoicing software?

If you only send invoices and collect payments, a standalone tool such as Zoho Invoice or Invoice Ninja is cheaper. If you also want bookkeeping, expenses and reports in one place, an accounting suite such as QuickBooks Online or FreshBooks does both, at a higher price. Wave sits in between, with free invoicing next to its bookkeeping features.

Which invoicing software accepts ACH bank payments?

The vendors document ACH or bank payments on invoices for Wave (alongside card and Apple Pay), PayPal Invoicing (Pay by Bank at 1%, capped at $10) and QuickBooks Online (with card, Apple Pay, PayPal and Venmo). Invoice Ninja connects to GoCardless, but its pricing page does not name ACH. Check the fee per bank payment, since it often costs less than card processing.

What is the difference between billing and invoicing software?

Invoicing software creates and sends invoices, tracks payment and sends reminders. Billing software usually adds recurring charges, subscriptions and dunning for failed payments. In this list, Zoho Billing Premium adds subscriptions and dunning, while Zoho Invoice, Wave and Invoice Ninja focus on invoices, quotes and recurring invoices. Most small service businesses only need the invoicing side.

Did Startup Helms test these invoicing tools?
